Privacy notice

We are Pestakill Midlands Ltd (company number 17272458, registered in England and Wales), the data controller for the personal data described in this notice. Our registered office is Business Central 2 Union Square, Central Park, Darlington, DL1 1GL. We are part of PestGuard Group.

We are subject to the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

When we took over the Pestakill business, our customer records came to us from the business that ran Pestakill before us. Those records hold your business name, the names, phone numbers and email addresses of the people we deal with, the sites we visit, and your plan and its price.

Everything else comes from you or your staff: when you confirm your details or sign your agreement, when you call, email or text us, and when our technicians record a visit.

• Contact details: your business name, and the names, phone numbers and email addresses of the people we deal with.
• Site details: the addresses we visit and what we find there.
• Service records: visits, treatments, reports and our recommendations.
• Your agreement: the plan you choose, its price and dates, and the name, position and drawn signature of the person who signs it, with the time of signing.
• Billing: invoices and payments. Card and bank details for payments go into our payment provider’s secure fields, and we never see full card numbers.
• Correspondence: emails, text messages, and notes, recordings and transcripts of calls.

This website runs no analytics and stores nothing you type into it. The only cookie it sets is GAESA, a technical cookie our hosting provider’s servers use to route your visit, which expires after 30 days. We do not use it to identify or track you.

We do not ask for special category data, and there is no reason to send it to us. We do not knowingly collect data about children.

• Providing your pest control service: visits, treatments, reports and advice. Performance of a contract.
• Moving your service to us after the takeover, including contacting you about your new agreement. Legitimate interests: keeping the service you already have running without a gap. Once you accept, performance of a contract.
• Invoicing, taking payment and keeping accounts. Performance of a contract, and legal obligation for accounting and tax records.
• Reminding you about visits and renewals by email or text. Performance of a contract.
• Answering questions, complaints and requests. Legitimate interests, and legal obligation where the law requires a response.
• Keeping records of the work we have done, so we can show it was done properly. Legitimate interests.

Where we rely on legitimate interests, that interest is running a pest control business and looking after our customers, and we have weighed it against your interests. You can object at any time using the contact details below.

We do not sell personal data, and we do not share it for anyone else’s marketing. We use a small number of suppliers who process data for us under contract, and only on our instructions:

• Website and customer platform hosting.
• Email.
• A customer relationship system, which holds customer records and sends our emails and text messages.
• Payment processing.
• Accounting software.

Other companies in PestGuard Group that help run Pestakill’s administration can see customer records for that purpose. We may also share information with our professional advisers, such as accountants and solicitors, and with a regulator, court or authority where the law requires it. If we sell or restructure the business, records may transfer with it, as they did when we took Pestakill over.

Some of the suppliers above are based outside the UK, mainly in the United States, so personal data may be transferred there. Where that happens we rely on the UK government’s adequacy decisions, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses. You can ask us which applies to a particular supplier.

• Customer, service and billing records: 7 years after your agreement ends, to meet accounting and record-keeping requirements.
• Details of people who contacted us but did not become customers: up to 24 months after our last contact.
• Correspondence: as long as the customer record it belongs to.

We delete or anonymise data once we no longer need it for the purpose we collected it for.

Under UK GDPR you can ask us to:

• Give you a copy of the personal data we hold about you.
• Correct anything inaccurate or incomplete.
• Delete it, where we have no continuing reason to hold it.
• Restrict how we use it while a question about it is resolved.
• Provide it in a portable format, where processing is automated and based on a contract.
• Stop processing based on legitimate interests, by objecting.

Email info@pestakill.co.uk and we will respond within 1 month. There is no charge. We may ask you to confirm who you are before we release anything.

If you are not satisfied with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO), the UK supervisory authority, at ico.org.uk or on 0303 123 1113. We would rather you raised it with us first so we can put it right.

We use access controls, encrypted connections and reputable suppliers, and we limit who can see customer records. No system is perfectly secure, so we do not claim otherwise. If a breach affects your rights we will tell you and the ICO within the timescales the law sets.

We update this notice when what we do changes. The date at the top always shows the current version.
